General Terms & Conditions for Pinewood Lodge Business

Pinewood Lodge Accommodation Terms and Conditions

We welcome you to Pinewood Lodge but ask you to take time to read our terms and conditions before making a booking with us, in particular please take note of our Payment and Cancellation policies before making your booking.

 

Making a Booking
You must be aged 18 years or over to make a booking with us and you must be aged 18 years or over to stay alone.  If a guest arrives at the hotel and is under 18 years of age the guest will not be permitted to stay alone. Legal ID is required to prove age.

 

Payment
For direct standard  bookings we require a minimum deposit of £30.00 or 25%, whichever is the greater, per room to guarantee the booking. We accept cheques if booking more than 14 days in advance. If booking 14 days or less in advance of your stay, the deposit payment must be made by card, Paypal or Bank Transfer. We will send you an email or letter confirming the booking and account details for deposit payments. The balance is due on arrival. We accept debit card or credit card. Prices are per room per night, unless otherwise stated. Long term contractor bookings require a week's deposit and a week's payment up front. Subsequent weeks must be paid a week up front on a rolling basis. The security deposit is refundable on final departure assuming both parties agree to no damage / loss.

 

Payments for bookings via booking platforms (for example Booking.com) are made in accordance with our policies advertised on the booking platform.

 

Cancellation
In the unlikely event of your booking being cancelled or curtailed, we are entitled by law to charge for booked accommodation not taken up. Deposits are non-returnable if cancellation occurs within 14 days of arrival. We will endeavour to re-let the accommodation on your behalf and, if successful, will refund 50% of your deposit. This can be done either by cheque, bank transfer or Paypal. To avoid misunderstanding, we recommend all our guests to insure against cancellation. Long term contractor cancellations made within 7 days of check will only be refunded for nights filled.

 

Cancellations for bookings via booking platforms (for example Booking.com) are made in accordance with our policies advertised on the booking platform.

 

Non-availability
We would only cancel your booking if your accommodation was unavailable for reasons beyond our control. We would attempt to offer you alternative accommodation, however if this was not possible, or unacceptable to you, then we would refund all monies paid by you. Our liability would not extend beyond this refund.

 

Registration 

Pinewood Lodge operates online digital registration for all bookings. 

 

 Paying cash -(by arrangement only) - Driver's License or UK Passport. A valid credit/debit card is required to be held on the booking.

 Paying by card: Pre authorisation is taken 7 days before check in or immediately on booking if booking received within 7 days of check in.

 

Arrival & Departure
Your accommodation is available to you from 1500 hrs on the day of arrival, unless otherwise arranged. Please be ready to leave your accommodation by 1030 hrs on the day of departure, unless otherwise arranged. Please return the key to the owner before departure, unless otherwise advised.

 

Keys
Your room has a Yale and Mortice key. In the event of any keys being lost we will charge £10.00 per key to cover the cost of replacement. This means each set of Yale & Mortice keys lost will incur a charge of £20.00.

 

Breakfast 
Cooked breakfast is cannot guaranteed to be available for the dates of your stay. Availability depends on product and staff availability. We offer the possibility of breakfast by prior arrangement and for groups of 2 or more only. However, please note that any special dietary requirements, including allergies must be notified at least 48 hours in advance of your arrival.This provides us with the best opportunity to meet your needs.

 

The room only rate includes a complimentary in room breakfast basket. (not included long term for contractor bookings unless otherwise agreed).

 

Staff Availability

We cannot guarantee staff being on site for your check in unless otherwise arranged.

 

Damages and Breakages
We want you to enjoy your stay but ask you to remember that you are responsible and liable for any breakages or damages which you or any member of your party cause to the accommodation or its contents. Please report these as soon as they occur especially if you accidentally spill something – it’s much easier to clean if we know what it is and act quickly. We do not normally charge for breakages, but we reserve the right to charge for repair or making good if the damage is significant. We may make an additional charge if you did not report this.

 

Liability
We do not accept liability for damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment.

 

Children
We accept children over the age of 12 years. Younger children can be accommodated in specific rooms and BY PRIOR ARRANGEMENT ONLY. We do not offer any child reductions.

 

Pets
We accept pets in some rooms. Please contact us to discuss your requirements.

 

Parking
There is one parking space allocated to each lodge. Parking for a second car will need to be booked and is subject to availability. Parking is at your own risk.

 

Lost Property
We are happy to return items that have been left following departure. However, there will be a minimum charge of £10.00 to cover postage and packaging.

 

Missing Items
We reserve the right to charge for missing items as listed in our rooms.

 

Pricing
We reserve the right to change our prices at any time. This does not affect bookings already made.

 

Smoking
Smoking nor Vaping are permitted within any of our rooms. Please note that offending guests may be asked to leave immediately and may be liable for the cost of professional cleaning of any rooms and any outstanding balance of nights booked but not taken through early departure.

 

Please use the cigarette buckets provided and dispose of your cigarette stubs considerately.

 

Our rooms are fitted with interlinked smoke alarms, a legal requirement to comply with The Regulatory Reform (Fire Safety) Order 2005. Tampering with these alarms is a criminal offence and affects not only your safety but that of other guests and staff.

 

Availability of Facilities
The operation of our site is subject to legislation and the guidelines laid down by the Health and Safety Executive and Local Authorities and their code of practice. We accordingly reserve the right to adjust our services in order to meet these standards. It is possible that in some circumstances a facility may have to be temporarily withdrawn, due to maintenance, renovation, adverse weather conditions, changes in government legislation or any other factor outside our control.

 

Behaviour
Please consider the comfort and safety of other guests and our neighbours. Examples are, but are not limited to:

•    Respecting the privacy and comfort of guests in our
     lodges and that of our neighbours
•    Leaving the lounge/bar room quietly
•    Keeping noise and activity to a minimum between
     the hours of 2200 and 0800 hrs
•    Not littering the site
•    Arriving/leaving the site quietly at unsociable hours
•    Not glaring headlights into other chalets and leaving

     engines running unnecessarily
•    Respecting our onsite 5 mph speed limit

 

Termination Policy
Pinewood Lodge reserves the right, at its discretion, to terminate, without notice, an individuals stay where deemed necessary through unacceptable behaviour or as a result of actions which are likely to endanger or offend others (Please note that non compliance of our non smoking policy and/or tampering with smoke alarms may constitute termination). In such circumstances any outstanding account must be settled, no refunds will be made.

 

Website Accuracy
We take every care to ensure that the details on this website are accurate. Photographs taken of the park are for guidance only. Layouts plans are for illustrative purposes only.

 

Data Protection
Pinewood Lodge does not store any information on computer. Paper records are held for a minimum of 12 months and then destroyed. Our booking platform is managed by FreeToBook who store and protect all data in the same way. No data is sold on or passed to anyone it was not intended to be used by.

 

If You Have a Comment
We want you to enjoy your visit but understand that from time to time things may go wrong. If you are dissatisfied with any aspect of you stay, please speak to us. In most cases they will be able to help you immediately so that you can enjoy the rest of you stay. We are only able to take action on any complaints that are first brought to the attention of the reception during your stay.


Conditions of Booking
The booking contract: Our contract is subject to these conditions of booking and the provisions detailed above. The personal details you provide, including home address and age must be true and correct. We reserve the right to decline or terminate the booking of any guest(s) whose behaviour interferes or may interfere with the general comfort of other guests or staff. In this event no refund will be made.

 

Connectivity
According to visitors the 4G mobile networks that work best in our area are EE, ID & Three as well as any that work of the back of these networks. Please note we cannot guarantee availability of these networks. There is WiFi available in the lodges and lounge/bar area. the password is in the booklet in your room. We will not be liable however, for any reason, if the service is not available at any time for any period, nor for any loss of data or damage to the equipment you suffer as a result of using the service.

 

General
We reserve the right to amend these terms and conditions at any time.

We reserve the right to assign or sub-contract any of our rights and obligations under this agreement without notice to you.

 

If any provision of this agreement is found to be unenforceable by a court of competent jurisdiction, the other provisions shall nevertheless remain in full force and effect.

This agreement is governed by the laws of England and the parties hereto submit to the non-exclusive jurisdiction of the English courts.
