Please read these terms in conjunction with our Camping and B&B Terms & Conditions

 

Special Requirements

You are able request any special requirements via our online booking link on our website www.pinewood-lodge.co.uk and we will try to accommodate these.

If you wish to discuss any special requirements, then please contact us 01530264477 when making your booking.

Please note that although we will endeavour to meet your requests, this is not a condition of booking.

 

Behaviour

Pinewood Lodge Ibstock and our facilities are mainly intended for family holidays, although we do accept bookings from individuals and group bookings as well. 

 

Please respect the comfort and safety of other guests and our neighbours. Examples are, but are not limited to:

  • Respecting the privacy and comfort of guests in our lodges and campsite and that of our neighbours
  • Drinking responsibly
  • Leaving the club room quietly
  • Keeping noise and activity to a minimum between the hours of 2200 and 0800 hrs
  • Respecting site rules (see our booklet)

Termination Policy

Pinewood Lodge reserves the right, at its discretion, to terminate, without notice, an individuals stay where deemed necessary without legal identification as proof of age, through unacceptable behaviour or as a result of actions which are likely to endanger or offend others. In such circumstances any outstanding account must be settled, no refunds will be made.

 

Availability of Facilities

The operation of our site is subject to legislation and the guidelines laid down by the Health and Safety Executive and Local Authorities and their code of practice. We accordingly reserve the right to adjust our services in order to meet these standards. It is possible that in some circumstances a facility may have to be temporarily withdrawn, due to maintenance, renovation, adverse weather conditions, changes in government legislation or any other factor outside our control.
 

Liability

We do not accept liability for damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment.

 

Website Accuracy

We take every care to ensure that the details on this website are accurate. Photographs taken of the park are for guidance only. Layouts plans are for illustrative purposes only

 

Lost Property

We are happy to return items that have been left following departure. However, there will be a minimum charge of £5.00 to cover postage and packaging.

 

Missing Items

We reserve the right to charge for missing items.

 

Pricing

We reserve the right to change our prices at any time. This does not affect bookings already made.

 

If You Have a Comment

We want you to enjoy your visit but understand that from time to time things may go wrong. If you are dissatisfied with any aspect of you stay, please speak to us. In most cases they will be able to help you immediately so that you can enjoy the rest of you stay. We are only able to take action on any complaints that are first brought to the attention of the reception during your stay.

 

General

We reserve the right to amend these terms and conditions at any time.

 

We reserve the right to assign or sub-contract any of our rights and obligations under this agreement without notice to you.

 

If any provision of this agreement is found to be unenforceable by a court of competent jurisdiction, the other provisions shall nevertheless remain in full force and effect.

 

This agreement is governed by the laws of England and the parties hereto submit to the non-exclusive jurisdiction of the English courts.

Pinewood Lodge Campsite Terms & Conditions

Please read these terms in conjunction with General and B&B Terms & Conditions

 

We want you to enjoy your visit and ask you to read this Information about your stay including the General Terms and Conditions above.

 

Making a Booking

You must be aged 18 years or over to make a booking with us and you must be aged 18 years or over to stay alone.  If a guest arrives at the hotel and is under 18 years of age the guest will not be permitted to stay alone. Legal ID is required to prove age.

 

Registration 

Pinewood Lodge requests proof of id on registration: 

 

UK Nationals: Paying cash - Driver's License or UK Passport

                       Paying by card - either of the above and/or card used to make the booking

 

Data Protection
Pinewood Lodge does not store any information on computer. Paper records are held for a minimum of 12 months and then destroyed. Our booking platform is managed by FreeToBook who store and protect all data in the same way. No data is sold on or passed to anyone it was not intended to be used by.

 

Arrival and Departure

Your pitch is available and you are able to check-in from 1400 hrs on your day of arrival. Pitches will not be held after 7pm on your day of arrival unless prior arrangements have been made with Pinewood Lodge Ibstock.

On your day of departure you must have vacated your pitch by 1300 hrs unless half day arrangements have been made in advance during your check-in or prior to arrival. Please note a fee may apply depending on how busy we are.

 

Guests

Please act responsibly and be aware that other guests and children are onsite and any inconsiderate or inexcusable actions and behaviour will not be tolerated. We reserve the right to ask a party to leave and not to issue a refund under these circumstances. Please also remember you are responsible for the behaviour of any of your guests/visitors.

 

 

Pets

Dogs are welcome on the campsite, but we regret we are unable to accommodate Rottweilers, Dobermans or any kind of Bull Terrier, with the exception of Staffordshires. We operate strict rules for dog owners visiting our site. Most importantly, for the comfort of all of our guests and for reasons of Health & Safety, dogs must be kept on a lead or in a secure area at all times and should be walked/toileted off site. Should your dog(s) have any toilet accidents on site they must be cleared immediately and disposed of appropriately. Please note dogs are not allowed in the fishing pond, buildings or facilities onsite, although depending on how busy we are we may, with prior agreement, and if kept on a lead, allow your dog in the club room. This is discretionary and can only agreed on a day by day basis. We reserve the right to require the owner of any dog to remove their dog(s) from Pinewood Lodge campsite if considered a nuisance or is interfering with the general comfort of guests and staff.

 

Children

Children remain the responsibility of their parent(s) or guardian(s) at all times, as do they at any of our facilities or activities onsite. For the comfort of all guests and for their own safety children must not be allowed to play or wander unsupervised around the car park, fishing pond or chalets. It is important that you know where your children are at all times and that they obey the instructions of staff. Please ensure that all children are aware of and understand the Campsite Rules which you will be provided with on your day of arrival.

 

Please Take Care

Please treat the property, facilities and surroundings of the park with respect and care so that other guests may continue to enjoy them. In the event that you notice damage to any facility, please report it immediately so that we can take appropriate action. Please also take care when walking around Pinewood Lodge Ibstock and remember that you are in an unfamiliar environment, particularly at night. It is always advisable to carry a pocket torch to assist you and to avoid any accidents.

In line with current legislation, please note that all public buildings within the resort are non smoking. Please be aware that fines can be imposed to anyone not adhering to this law.

 

BBQs

We do permit bbqs but they must be raised at least 12 inches / 30 cms off the ground. Camp fires are not permitted at any time. Always keep a bucket of water close by in case of any emergency. Keep fires at least 5 metres from tents.

 

Your Pitch

Pitches are allocated on first come first served basis. Pinewood Lodge Ibstock is unable to guarantee any particular pitch. You are advised to check in with your complete party, to ensure pitches together. Only those listed and paid for on the booking may occupy your pitch and use the facilities. Only one tent, motor home or caravan is permitted per pitch.

 

Waste Disposal

 

Please dispose of all rubbish as you vacate your pitch. Bins are provided onsite as well as Recycling bins. They are located next to the entrance. We kindly ask you to separate your rubbish if possible into recyclable and non-recyclable bins. It is easier if you separate your waste as you go rather than at the bins. We have black bin bags available for 50 pence each that can help you with this.

 

Non-availability

We would only cancel your booking if your pitch was unavailable for reasons beyond our control. We would attempt to offer you an alternative pitch, however if this was not possible, or unacceptable to you, then we would refund all monies paid by you. Our liability would not extend beyond this refund.

 

 

Payment & Deposit

We ask for at least a 50% deposit to guarantee your pitch. We accept cheques if booking more than 14 days in advance. If booking 14 days or less in advance of your stay, the deposit payment must be made by BACs, Cash or PayPal. We will send you an email or letter confirming the booking and details for deposit payments. The balance is due on arrival. We currently accept debit card or credit card on site only, we regret we cannot take card payments over the phone. 

 

Cancellation Policy

As soon as you know you need to cancel, call us on +441530264477, and confirm your cancellation in writing or by email bookings@pinewood-lodge.co.uk. The cancellation can only be accepted by the person who made the reservation.

 

Cancellation charges may apply:

 

30 days or more - £10.00

Less than 30 days - 50% of the total booking

 

To avoid misunderstanding, we recommend all our guests to insure against cancellation.

 

 

Conditions of Booking

The booking contract: Our contract is subject to these conditions of booking and the provisions detailed above. The personal details you provide, including home address and age must be true and correct. We reserve the right to decline or terminate the booking of any guest(s) who cannot prove they are 18 years of age or over or whose behaviour interferes or may interfere with the general comfort of other guests or staff. In the event no refund will be made. Legal ID must be shown on arrival (UK Nationals: driving license, passport or card used to make the payment. Foreign Nationals: Passport or National Identity Card).

 

Connectivity
According to visitors the 4G mobile networks that work best in our area are EE, ID & Three as well as any that work of the back of these networks. Please note we cannot guarantee availability of these networks. There is WiFi available in the lounge/bar area. Please contact us for the password. We will not be liable however, for any reason, if the service is not available at any time for any period, nor for any loss of data or damage to the equipment you suffer as a result of using the service.

 

General

Pinewood Lodge Room Hire & Bed & Breakfast             Terms and Conditions

Please read these terms in conjunction with our General and Camping Terms & Conditions

 

We welcome you to Pinewood Lodge but ask you to take time to read our terms and conditions before making a booking with us, in particular please take note of our Payment and Cancellation policies before making your booking.

 

Making a Booking
You must be aged 18 years or over to make a booking with us and you must be aged 18 years or over to stay alone.  If a guest arrives at the hotel and is under 18 years of age the guest will not be permitted to stay alone. Legal ID is required to prove age.

 

Payment
For all bookings we require a minimum deposit of £30.00 or 25%, whichever is the greater, per room to guarantee the booking. We accept cheques if booking more than 14 days in advance. If booking 14 days or less in advance of your stay, the deposit payment must be made by Paypal or Bank Transfer. We will send you an email or letter confirming the booking and account details for deposit payments. The balance is due on arrival. We do not currently accept debit card or credit card. Prices are per room per night, unless otherwise stated. 

 

Cancellation
In the unlikely event of your booking being cancelled or curtailed, we are entitled by law to charge for booked accommodation not taken up. Deposits are non-returnable if cancellation occurs within 14 days of arrival. We will endeavour to re-let the accommodation on your behalf and, if successful, will refund 50% of your deposit. This can be done either by cheque, bank transfer or Paypal. To avoid misunderstanding, we recommend all our guests to insure against cancellation.

 

Non-availability
We would only cancel your booking if your accommodation was unavailable for reasons beyond our control. We would attempt to offer you alternative accommodation, however if this was not possible, or unacceptable to you, then we would refund all monies paid by you. Our liability would not extend beyond this refund.

 

Registration 

Pinewood Lodge requests proof of id on registration:

Arrival & Departure
Your accommodation is available to you from 1600 hrs on the day of arrival, unless otherwise arranged. Please be ready to leave your accommodation by 1100 hrs on the day of departure, unless otherwise arranged. Please return the key to the owner before departure, unless otherwise advised.

 

Keys
Your chalet has a Yale and Mortice key. In the event of any keys being lost we will charge £10.00 per key to cover the cost of replacement. This means each set of Yale & Mortice keys lost will incur a charge of £20.00.

 

Breakfast
Breakfast must be booked by 1900 hrs the night before. However, please note that any special dietary requirements, including allergies must be notified at least 48 hours in advance of your arrival.This provides us with the best opportunity to meet your needs.

 

Damages and Breakages
We want you to enjoy your stay but ask you to remember that you are responsible and liable for any breakages or damages which you or any member of your party cause to the accommodation or its contents. Please report these as soon as they occur especially if you accidentally spill something – it’s much easier to clean if we know what it is and act quickly. We do not normally charge for breakages, but we reserve the right to charge for repair or making good if the damage is significant. We may make an additional charge if you did not report this.

 

Liability

Children
We accept children over the age of 12 years. Younger children can be accommodated in specific rooms and BY PRIOR ARRANGEMENT ONLY. We do not offer any child reductions.

 

Pets
We accept pets in some rooms. Please contact us to discuss your requirements.

 

Parking
There is one parking space allocated to each chalet. Parking for a second car will need to be booked and is subject to availability. Parking is at your own risk.

 

Lost Property

Smoking
Smoking is NOT permitted within any of our rooms. This includes the use of e-Cigarettes. Please note that offending guests may be asked to leave immediately and may be liable for professional cleaning of any rooms and any outstanding balance of nights booked but not taken through early departure.

 

Please use the smoking area outside the bar and dispose of your cigarette stubs considerately.

 

Our rooms are fitted with interlinked smoke alarms, a legal requirement to comply with The Regulatory Reform (Fire Safety) Order 2005. Tampering with these alarms is a criminal offence and affects not only your safety but that of other guests and staff.

 

Availability of Facilities

•    Not littering the site
•    Arriving/leaving the site quietly at unsociable hours
•    Not glaring headlights into other chalets and leaving engines running unnecessarily
•    Respecting our onsite 5 mph speed limit

 

Termination Policy
Pinewood Lodge reserves the right, at its discretion, to terminate, without notice, an individuals stay where deemed necessary through unacceptable behaviour or as a result of actions which are likely to endanger or offend others (Please note that non compliance of our non smoking policy and/or tampering with smoke alarms may constitute termination). In such circumstances any outstanding account must be settled, no refunds will be made.
